Job Description:

We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position. As a Secretary, you will play a crucial role in providing administrative support to our leadership team and ensuring the smooth operation of our organization. Your responsibilities will encompass a wide range of tasks, from managing daily schedules to handling communications, and contributing to the overall efficiency of the company.



· Ordering office supplies and replacements, as well as managing mail and courier services.

· Observing best business practices and etiquette.


1. Administrative Support:

· Manage and maintain the daily schedules and calendars of the leadership team.

· Assist in organizing and prioritizing tasks to ensure deadlines are met.

· Prepare and edit documents, reports, and presentations as needed.

· Handle general administrative duties, such as filing, data entry, and office organization.


2. Communication:

· Manage emails and correspondence on behalf of the leadership team.

· Answer phone calls, take messages, and respond to inquiries in a professional manner.

· Draft, proofread, and edit written materials, including emails and documents.


3. Information Management:

· Keep records and databases up to date and well organized.

· Manage contact lists and maintain an updated directory of key business contacts.


4. Travel and Event Coordination:

· Make travel arrangements, including booking flights, accommodations, and ground transportation.

· Prepare itineraries and travel documents for business trips.

· Assist in planning and coordinating company meetings, events, and conferences.


5. Financial Management:

· Assist with tracking expenses, receipts, and budget management.

· Handle reimbursement requests and keep accurate financial records.


6. Research:

· Conduct research tasks as needed, including market research, competitor analysis, and industry trends.

· Provide insightful summaries and reports based on research findings.


Requirements :

· 3 months of proven experience as a personal secretary, executive assistant, or in a similar administrative role.

· Strong proficiency in office software (e.g., Microsoft Office, Google Workspace).

· Excellent communication skills, both written and verbal.

· Exceptional organizational and time management skills.

· Attention to detail and the ability to maintain confidentiality.

· Flexibility and adaptability to handle various tasks and prioritize effectively.

· Strong problem-solving skills and the ability to work independently.

· Create a positive experience for others.

· Ability to work independently.
